University Art & Special Collections Assistant (Half-Time)

Under the guidance of the Archives and Special Collections Librarian, the Art and Special Collections Assistant is responsible for the day-to-day organization, care and placement of the University Art Collection, which contains over one thousand pieces of art displayed in public and private offices at multiple campuses of Pacific University.  This position supports the management and intellectual control of the University‚Äôs museum collections, as well as the art collections. This is a half-time (.5 FTE) benefit-eligible position reporting to the Archives and Special Collections Librarian. The position is funded for a minimum of 18 months.


ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES:

Under the supervision and guidance of the Archives and Special Collections Librarian this position:

  • Maintains the inventory of the Art Collection, including:

    Receiving and documenting new acquisitions

    Cataloging and maintaining Art Collection database according to professional standards

    Reporting to Office of Finance for Art Collection valuation

    Maintaining policies and procedures relating to collection management

  • Coordinates and places Art Collection pieces in university pieces in university buildings, faculty and staff offices and conference rooms

  • Assists in updating and cataloging the Museum Collection records

  • Assists in creating and maintaining online exhibits of both the art collection and museum collection

  • Collaborates with University Advancement to record and acknowledge donations

  • Coordinates incoming and outgoing loans, including agreements, insurance certificates, facility reports, crating and shipping

  • Collaborates on special Art Collection projects, including special events, benefit exhibitions and auctions

  • Serves on the University Art Collection Advisory Board

REQUIRED KNOWLEDGE, SKILLS, ABILITIES & BEHAVIORS:

  • Organizational skills and attention to detail
  • Photography skills
  • Experience with Photoshop
  • Working knowledge of Excel
  • Strong interpersonal skill and ability to work with individuals and groups
  • Fluency in reading, writing, and speaking English
  • Ability to set priorities and complete assignments in a timely manner
